Five Tools of Process Analysis in Visual Paradigm

CRUD Matrix

We can use the CRUD Matrix as one of the tools that can be used for a process is utilizing the forms flow by CRUD technique. In each task, the mentioned events happen in CRUD and we use them for the information to determine what happens in each stage of the process and activities.

CRUD is:

  • Create: Is any information or form created?
  • Read: Is any information or form read?
  • Update: Is any information or form updated?
  • Delete: Is any information or form deleted?

 

Therefore, if one of them happens for each task process it means that one form is created, information is read, new information is updated or one is deleted while if one of the four mentioned actions fails to happen you should suspect the task’s function. What does that task do?

 

RACI Matrix

RACI Matrix as a process analysis tool tells us:

  • Who does what and when?
  • What activities and tasks are done by whom?

RACI aids the modeling and determining the framework, and leads transparency besides creating responsibility and specifying the responsibility and task for each senior principal.

  • Responsible: Colleague/representative and the responsible for the work.
  • Accountable: The decision-maker and who determines R and takes the final responsibility can be both R and A.
  • Consulted: The consultant who isn’t involved in the task directly but is effective in making the decision. Here one bilateral relationship should be formed.
  • Informed: The informed person or people that get informed are the process output receiver.

Attention:

 Each process has one A that the process owns and is known by the organization principal. Pay attention to the Matrix Below:

 

Process Analysis by Using Diagram Matrix

Besides CRUD and RACI Matrixes we can make other Matrixes considering the needs. For example, we can put the roles and involved people of the process and processes in the Matrix lines and decision-making points in the columns. Consequently, we can specify what decision is made and by who, where are the bottlenecks, who is responsible for various works.

Diagram Matrix Application

  • Where in the organization are decisions made?
  • What decisions does a person make?
  • Who has made what tasks and what does he do?
  • The job explanation must be prepared.
  • How is the relationship in and out of the organization and which staff has done it?

Animating another Tool for Process Analysis

We can observe the process implementation path in various statuses with different decisions by utilizing animating. We can determine if the defined process has appropriate workflow or needed information.

Process Analysis by Simulating

We can test the process before implementing it in the real atmosphere in software with the real situation by using the simulation. In simulating, we can determine all the utilized resources in each activity like printer, computer, spent time, and their cost. By implementing the process in the testing atmosphere, we will observe the results before being applied in the real atmosphere and predict the required reformation.

After specifying the resource for each task, we can obtain the analytical reports:

  • Each task requires the time amount, manpower, and cost to implement
  • Various tasks are compared. One task may be a bottleneck and takes a lot of time and cost. You should carry out a pathology why this has happened
  • It comperes diverse scenarios[1]
  • It presents cost-time diagram for the tasks and various scenarios
